That depends on the customer environment and the initial setup. If you're using Office 365, each user/email address can be added automatically via directory service synchronization. If you're using a journaling mailbox where all incoming and outgoing emails are routed, new email accounts are also automatically backed up.

No. In each customer instance, you specify individually which email accounts should be backed up. With directory services (e.g., Azure AD), you can choose to automatically back up all email accounts. However, this is not the default setting.

For legally compliant archiving, mailboxes that receive and send business-related and tax-related emails are sufficient. However, archiving serves other important purposes besides legally compliant backup. Therefore, we always recommend backing up all email accounts.

The “@Catchall” mailbox is created under specific circumstances during journaling. Since this archive also functions as a mailbox, it is subject to a charge. This mailbox is created by journaling profiles with the “Emails with unknown addresses” option. The MailStore catchall is not the same as a mail server catchall. Emails with unknown addresses are emails sent from or to a user whose address is unknown.

An additional user is used solely for accessing and archiving the email archive system and does not itself have any emails. There's no single answer to that. Generally, free email accounts cannot be archived in a legally compliant manner. This is due to the so-called "journaling function," which prevents emails from being manipulated. This option is very often missing. However, archiving is still possible.

Each mailbox is automatically allocated 50 GB of storage upon booking. An additional 50 GB of storage is automatically added as soon as a mailbox exceeds its included 50 GB. This additional storage is distributed across all users within a customer instance.
